Refund Policy

1. Overview

At Athleonix Performance, we are committed to providing the highest quality online coaching services to each and every one of our clients. We understand that choosing a coaching program is a significant investment in your health, fitness, and well-being, and we want you to feel confident in your decision to work with us. This Refund Policy outlines the terms and conditions under which refunds may be issued for our coaching services.

We encourage all prospective clients to carefully review our service descriptions, pricing, and terms before making a purchase. If you have any questions about our programs or this Refund Policy before committing, please don't hesitate to contact us. Our team is happy to provide additional information to help you make an informed decision.

By purchasing any of our coaching services, you acknowledge that you have read, understood, and agree to this Refund Policy in its entirety. This policy is an integral part of our Terms of Service and should be read in conjunction with those terms.

2. Satisfaction Guarantee

We stand behind the quality of our coaching services and are confident that our methodology delivers results. We offer a 14-day satisfaction guarantee from the date of your initial program delivery. If within the first 14 days of receiving your personalized coaching program you are genuinely dissatisfied with the quality of the service provided, you may request a full refund subject to the conditions outlined below.

To qualify for a refund under our satisfaction guarantee, you must have actively engaged with the coaching program, including completing at least two (2) check-ins, following the prescribed training program, and communicating any concerns with your assigned coach. Refund requests from clients who have not engaged with the program will be evaluated on a case-by-case basis.

This satisfaction guarantee is designed to protect clients who find that our coaching style, methodology, or approach is not the right fit for their needs. It is not intended to be used as a means to obtain free coaching services and is subject to our fair use assessment.

3. Eligibility for Refunds

Refund requests will be considered under the following circumstances:

  • The request is made within the 14-day satisfaction guarantee period from the date of initial program delivery
  • The client has genuinely attempted to follow the prescribed coaching program and has engaged with the assigned coach
  • The client has communicated any concerns or issues to their coach before requesting a refund, giving us the opportunity to address the problem
  • The client has not previously received a refund from Athleonix Performance for a prior coaching engagement
  • The refund request is submitted in writing via email to one of our designated support email addresses
  • There has been a material failure on our part to deliver the services as described at the time of purchase
  • There has been a documented medical emergency or serious health condition that prevents the client from continuing with the program, supported by appropriate medical documentation

4. Non-Refundable Circumstances

Refunds will generally not be issued under the following circumstances:

  • The refund request is made after the 14-day satisfaction guarantee period has expired
  • The client has failed to follow the prescribed training program, nutrition plan, or coaching guidelines
  • The client has failed to communicate with their assigned coach or respond to check-in requests for a period exceeding 7 consecutive days without prior notice
  • The client has violated our Terms of Service, including sharing coaching materials with third parties
  • The client's expectations differ from what was explicitly stated and agreed upon at the time of purchase
  • The client is dissatisfied with results due to factors beyond our control, such as non-adherence to the program, pre-existing medical conditions not disclosed during intake, or lifestyle factors that conflict with the program requirements
  • The client has consumed a significant portion of the coaching services (e.g., received more than two weeks of programming, multiple check-in reports, or video analyses)
  • The coaching package or subscription was purchased during a promotional or discounted offer, unless the promotional terms explicitly include refund eligibility
  • The client simply changed their mind about wanting coaching services without attempting to engage with the program

5. Refund Process

To request a refund, please follow these steps:

  • Send a written refund request via email to support@athleonixperformance.com with the subject line "Refund Request — [Your Full Name]"
  • Include your full name, the email address associated with your account, the date of purchase, the coaching package or plan you purchased, and a detailed explanation of the reason for your refund request
  • Allow up to 5 business days for our team to review your request and respond with a decision
  • If your refund is approved, the refund will be processed to the original payment method within 7-10 business days from the date of approval
  • You will receive an email confirmation once the refund has been processed

Please note that the time it takes for the refund to appear in your account may vary depending on your financial institution. If you have not received your refund within 15 business days of the approval notification, please contact your bank or payment provider first, then reach out to us for further assistance.

6. Partial Refunds

In certain circumstances, we may offer partial refunds at our discretion. Partial refunds may be considered when:

  • The client has used a portion of the coaching services and requests to cancel the remaining term of a multi-month package
  • There has been a significant disruption to the coaching service caused by us, such as extended coach unavailability or a system failure that impacts service delivery
  • The client experiences a documented medical emergency or life event that prevents continued participation after the initial 14-day guarantee period
  • Both parties mutually agree that a partial refund is the most appropriate resolution

The amount of any partial refund will be calculated based on the unused portion of the coaching services, minus any setup fees, assessment fees, and administrative costs. The specific amount will be communicated to you before the refund is processed, and you will have the option to accept or decline the partial refund offer.

7. Subscription Cancellations

For clients on recurring subscription-based coaching plans, you may cancel your subscription at any time by contacting us in writing at least 7 days before your next billing date. Upon cancellation, you will continue to have access to your coaching services through the end of your current billing period. No refunds will be issued for the current billing period once payment has been processed.

If you fail to cancel before the renewal date and are charged for the next billing period, you may request a refund for that charge within 48 hours of the payment being processed. Requests made after 48 hours will not be eligible for a refund for that billing cycle. To avoid unwanted charges, we strongly recommend setting a reminder to cancel before your renewal date if you do not wish to continue.

When you cancel your subscription, your coaching program will remain active until the end of the current paid period. After that, your account will be deactivated, and you will no longer have access to active coaching services, although historical data may be retained in accordance with our Privacy Policy and data retention practices.

8. Chargebacks and Disputes

We kindly ask that you contact us directly to resolve any billing issues or disputes before initiating a chargeback with your bank or credit card company. Chargebacks initiated without first attempting to resolve the issue with us directly may result in the immediate termination of your account and the suspension of all coaching services.

Filing a chargeback or payment dispute without prior communication with our team may also result in the forfeiture of your right to future refunds and may affect your eligibility to use our Services in the future. We are committed to resolving any billing disputes fairly and promptly, and we encourage open communication to reach a mutually satisfactory resolution.

In the event that a chargeback is filed and subsequently reversed in our favor, we reserve the right to collect any fees or costs incurred as a result of the chargeback process, including administrative fees and any charges imposed by our payment processor.

9. Program Transfers and Pauses

As an alternative to a refund, we offer the following options for clients who need flexibility:

  • Program Pause: You may pause your coaching program for up to 30 days per calendar year due to vacation, illness, or personal circumstances. This option preserves your remaining program time and allows you to resume coaching when you are ready. Program pause requests must be made at least 48 hours in advance.
  • Coach Transfer: If you are dissatisfied with your assigned coach but still wish to continue with our Services, you may request a transfer to a different coach. We will do our best to accommodate your preferences and ensure a smooth transition.
  • Program Modification: If the current program structure is not working for you, your coach can adjust the programming, communication frequency, or other aspects of the service to better suit your needs. Please communicate any concerns directly with your coach before requesting a refund.

10. Force Majeure

Athleonix Performance shall not be held liable for any failure or delay in performing its obligations under any agreement or these policies where such failure or delay results from circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, government actions, civil unrest, internet outages, or other force majeure events. In such cases, we will make reasonable efforts to resume our services as quickly as possible and will communicate any expected delays to affected clients.

11. Modifications to This Policy

We reserve the right to modify this Refund Policy at any time. Any changes will be effective immediately upon posting the updated policy on our website. We will notify existing clients of significant changes via email. Your continued use of our Services after any modifications to this Refund Policy constitutes your acceptance of the updated terms. We encourage you to review this policy periodically to stay informed about our refund practices.

Any refund request will be governed by the version of this Refund Policy that was in effect at the time of your purchase, unless the updated policy provides more favorable terms to you, in which case you may elect to have the updated policy apply to your request.
